Project Administration

Wodonga, VIC

We are seeking a motivated and detail-oriented Projects Administrator to join our client’s dynamic team!

In this role, you’ll be at the heart of operations, providing essential support across both general administration and project-specific requirements. This is a fantastic opportunity for someone who thrives on organisation, communication, and making sure everything runs smoothly behind the scenes.

Key Responsibilities

General Administration

  • Data entry and database maintenance.

  • Answer and manage incoming calls.

  • Provide administrative support to the Business Coordinator, Business Manager, and Managing Director.

  • Assist with day-to-day office duties as required.

Project Administration

  • Set up new projects in internal systems.

  • Review and process project contracts.

  • Liaise with the Business Manager/Estimator for contract reviews.

  • Extract invoicing and site requirement details from contracts.

  • Manage compliance documentation, including inductions, Working With Children Checks, and Police Checks.

  • Work with site staff to collect and monitor required documentation (e.g., SWMS, safety checklists).

  • Update and distribute the Job Register to the wider team.

Quality Assurance (QA)

  • Manage QA documentation for all jobs.

  • Complete relevant forms and checklists, including ITPs (Inspection Test Plans).

Project Support

  • Provide administrative support to the Production and Site Managers.

  • Assist with project planning, documentation, and communications.
